Quick Process

  • Select Members from the main menu, close search window
  • Select Add New Member icon (located bottom left of screen)
  • Enter the new members personal details
  • Select the Membership tab (located top of screen)
  • Select the new members Membership Type from the drop down menu, select/fill in other fields as applicable
  • Select the Add Default Charges icon (green/white circle arrow) 
  • To invoice the new member, select the Member Account tab (XClub - Invoice) and create invoice

Note: For clubs that have website integration enabled, you can search the member in the online Members Directory after the next instance the integration has updated.



Step-by-Step Process

  • Select Members from the main menu, close the search window

  • Select Add New Member icon (located bottom left of screen)

  • Enter the new members personal details
    • MiMembership: The Member Number and MiClub User Name will auto fill after you have entered the surname
    • XClub: The Customer ID will auto fill after you have entered the surname. Manually enter the member user name (must match the Customer ID) and preferred name
    • For MiClub website integration, ensure the Active check box is ticked and the Gender is selected

  • Select the Membership tab (located top of screen)
  • Select the new members Membership Type from the drop down menu
  • Enter the new members Date of Joining and select the members Billing Period
  • Select the members Billing Period
  • Select Payment Method, Payment Plan and Payment Plan Type, if applicable
  • Select the Refresh Default Charges icon (green/white circle arrow) 
    • This will apply the member's default charges based on the the Membership Type selected 
  • To add any other charges that may apply to the new member i.e. buggy or locker fees, click on the Add Charges icon (green/white cross located next to Refresh Default Charges icon)
    • Select Charge from the drop menu, select OK

  • Select the Member Account tab (XClub = Invoice tab)
  • Select the Create invoice icon (first icon located top right of screen) 
  • The Invoice window will open;
    • Set the Invoice Date and Invoice Due Date
    • Set the Start and End dates to the required billing period
    • To create a pro-rata invoice, ensure the Pro Rata check box is ticked
    • Type any notes in the available field - these will appear on the printed invoice
    • Select Create

  • The invoice has created. Print or email the invoice to the new member, or pay the invoice
